Association & Events Coordinator

Ultimate Staffing is currently hiring for an Association and Events Coordinator to join a growing client in the North Atlanta area! This opportunity is ideal for a detail-oriented professional who enjoys balancing event management, communications, membership engagement, educational programming, and administrative operations.

Location: North Atlanta (hybrid 3 days in office, 2 days remote)

Schedule: Monday-Friday 8am-5pm. Must be willing to work the occasional weekends/evenings and travel locally to support client events and organizational needs.

Pay rate: $22-$24/hour based on experience. Once converted to an FTE, there is opportunity for bonus based on performance

Key Responsibilities

  • Assist with the planning and execution of association events, conferences, webinars, and educational programs.
  • Coordinate event registrations, attendee communications, refunds, and database updates.
  • Support event website and registration platform management.
  • Assist with speaker coordination, presentation materials, and event logistics.
  • Prepare event collateral, signage, name badges, certificates, and promotional materials.
  • Provide onsite event support, including registration management and attendee assistance.
  • Order and coordinate event supplies, giveaways, and branded materials.
  • Create and distribute member communications including emails, newsletters, social media posts, event promotions, announcements, and other marketing content.
  • Manage and maintain content calendars to support organizational goals and campaigns.
  • Design marketing materials and digital assets using Canva or similar design platforms.
  • Coordinate committee meetings and support communication initiatives.
  • Assist with annual campaigns and advertising placements.
  • Support the planning and delivery of webinars and virtual educational programs.
  • Coordinate speaker communications, scheduling, platform setup, and attendee support.
  • Manage webinar registration and learning management system (LMS) setup.
  • Track attendance, engagement metrics, and participant feedback.
  • Update website content, graphics, forms, and event information.
  • Monitor website analytics and prepare usage reports.
  • Deliver outstanding customer service through professional and timely communication.
  • Provide administrative and project support to internal teams and association clients.
  • Assist with packing and shipping materials for meetings, conferences, and events.
  • Support office operations and special projects as assigned.
  • Process incoming mail and packages on designated in-office days.
  • Sort and distribute correspondence appropriately.
  • Log, image, and track checks according to established procedures.
  • Coordinate bank deposits and provide supporting documentation to accounting teams.

Required Experience:

  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum of 2 years of professional experience in an administrative, project coordination, association, nonprofit, customer service, or operations-related role.
  • Strong organizational and project management abilities with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Word and Excel.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong customer service mindset and relationship-building skills.

Preferred Experience:

  • Experience working within nonprofit, association management, or membership-based organizations.
  • Knowledge of association management software, learning management systems (LMS), or CRM platforms.
  • Experience with Canva, Zoom, Hootsuite, Google Analytics, Smartsheet, or similar tools.
  • Marketing, social media, or member engagement experience.
  • Database management and reporting experience.
